REQUEST FOR QUOTATIONS TO CONDUCT IT SERVICES

Heifer International Zambia is requesting quotations from registered firms to conduct IT Services.
The Request for Quotations (RFQ) further specifies that the vendor will supply the materials and fit, install, or carry out the works. Other specifications of all the information that the firms will need to provide are indicated below:
Specifications of the IT services are as follows:

Laptops: 13 (HP Pro Book, Lenovo yoga, Lenovo Think book, Acer travel mate)
Tablets: 2 (Samsung)
Access points: 2
Printers: 5 (HP-Model MFP179fnw, HP – Color LaserJet enterprises M553, CANON – Image runner – 2420, HP Laser jet Pro 200 color M25In)
3 (Samsung, HP, Dell)
Relevant Heifer Software:
Heifer primarily utilizes windows 10 and 11.
Microsoft Office 365
SSO and MFA
Heifer will expect the contractor to provide the following services to ensure maximum uptime for Heifer IT equipment:
1. Remote helpdesk (responsive within 30mins) during business hours to support employee laptops and other matters that may be addressed remotely.
2. 4-8 hours per month on-site to:
Check firewall, switches, access points.
Periodically change Wi-Fi access points
Periodically upgrade firmware on firewall
Troubleshoot user laptop issues of users.
Troubleshoot and fix printing issues.
Trouble and fix Telephone issues
Maintain spare laptop pool based on our standard laptop build.
Order and build new machines as needs based on standard laptop build.
Maintain Tablets as needed.
Maintain all other hardware and software in the office.
Document IT environment when no technical issues or tasks
3. Emergency on-site support, as needed, within a 2-hour window
Contractor will be expected to provide the following on a continuous basis:
Remote helpdesk support within a 15mins window
Regular monthly visits to the Heifer office as per terms of agreement
Emergency on-site support within a 2-hour window
Deliverable Acceptance Standards
Heifer will review performance monthly and provide timely feedback in case of concerns in case of concerns regarding quality or timelines of service.
Prospective Bidders are required to submit the following:
Registration/Incorporation Certificate from PACRA or Registrar of Societies.
Evidence of similar past or completed or ongoing delivery works in the last 3 years.
Tax Clearance Certificates from ZRA for the last two (2) years for non-cooperatives.
Terms of payments.
The quotations must be submitted on or before 28th April,2023 at 12:00hrs and clearly marked in the subject line as IT SERVICES RFQ’s to the following address:
